2025 Specialty Coffee Expo Purchases: All ticket sales are final and non-refundable

Age Restrictions

We love kids, but unfortunately a coffee event isn’t the best place for them, given all the hot water, heavy machinery and moving parts. Please note that there is no on-site childcare.

Exhibit Hall and World Coffee Roasting Championship 

  • Infants in carriers are permitted during attendee hours – no strollers. 

  • Toddlers and children (aged 1 to 11 years old) are not permitted.

  • 12 years and older must be registered with a badge and are permitted during attendee hours. 

  • 18 years and older are permitted during set-up/tear-down with appropriate badge. 

  • Minors must be accompanied by their guardian at all times.

Expo Workshops 

  • 12 years and older and must be registered with a badge. 

Lectures 

  • 12 years and older and must be registered with a badge. 

Badge Requirements

  • Anyone 12 years or older must be registered with a badge to attend the Specialty Coffee Expo.

  • All attendees must wear their Expo badge to access any SCA hosted program or event.

  • Registrations of minors aged 12-17 must be signed by a parent or legal guardian 18 years or older.

  • Media Badge: Individuals must be 18 years or older to apply for a Media badge.

  • Minors must be accompanied by their guardian at all times.

Badge Pick-up Your confirmation receipt is required to pick-up your badge on-site. Badges will NOT be mailed prior to the show. If you do not have your confirmation receipt, you will be required to present a valid photo ID.

Badge Reprint Fee There will be a $50 badge reprint fee for lost or missing badges. Attendees requesting a badge reprint will be required to present a valid photo ID.

Badge Scanning:  You may be asked to have your badge scanned at exhibit booths; please note scanning of your badge is entirely optional and voluntary. While the barcode on your badge does not itself contain personal information, if your badge is scanned, you are authorizing SCA to securely share your contact information with that exhibitor by way of SCA’s registration and lead retrieval provider, CDS. The scan also confirms your intent to receive communications from that exhibitor. You will be subject to the communications and privacy policies of the exhibitors who scanned your badge and, if you chose to opt-out, you must do it with them directly.

Badge sharing, splitting, duplicating or sale: The unauthorized resale or attempted resale of your badge is prohibited and will constitute a forfeiture of the badge without compensation. Each badge must be used only by registered Attendee for each day of the event. Each badge is a revocable license to attend the event.

Badge sharing, splitting or duplicating is strictly prohibited. Any registrant found in violation of this policy will have their badge confiscated, and they will be removed from the Specialty Coffee Expo immediately, and forfeit attendance eligibility in current and future years.

Cancellation Policy

2025 Specialty Coffee Expo purchases: All ticket sales are final and non-refundable

SCA reserves the right at any time to change the event format, content, location, venue, opening hours, duration, dates, other timings, participants and/or any other aspect of the event, in each case without liability.  SCA reserves the right to withdraw any registration after confirmation without liability.

Except as expressly set out in these terms and conditions, and/or as may be otherwise expressly advised as part of the particular event’s registration process: (a) your registration for the event may not be cancelled, and (b) any registration fees you have paid will not be refunded for any reason.

SCA reserves the right to cancel or change the date(s) of the event at any time and for any reason (whether or not due to causes beyond our reasonable control).  In the event that the date(s) of the event are changed to new date(s) that are within twelve (12) months of the originally scheduled opening date of the event, or where the event is cancelled but is reasonably expected by SCA to be held at any time in the next calendar year, then, unless notified otherwise, your registration will be deemed to be valid for the event on the new date(s) or when it is next staged (as applicable) in the same way that it would have applied to the originally scheduled event (and no refund of any paid registration fees will be issued).  Where all or part of the event is cancelled and is not reasonably expected by SCA to be held in the next calendar year, then your registration will no longer be deemed to be valid for the event (or the cancelled portion of the event, as applicable) and, at your election, any paid registration fees for the event (or the cancelled portion of the event, as applicable) will be refunded or a credit issued for the same, and you will be released from paying any further amount of registration fees for the event (or the cancelled portion of the event, as applicable).  Service charges are non-refundable.  Personal arrangements, including, without limitation, air or other travel and accommodation, are solely your own responsibility and SCA will not be liable for any costs relating to such arrangements, even if the event is cancelled or moved to new date(s).  You acknowledge and agree that the provisions of this paragraph set out your sole remedy in the event of cancellation or the changing of the date(s) of the event and any and all other liability of SCA is hereby expressly excluded.

Additional Matters

SCA Education: You may change an Expo Workshop prior to April 11, 2025 by contacting Customer Service at CoffeeExpo@xpressreg.net.  Terms and conditions apply.

Data Security: SCA uses a variety of data security measures that are compliant with U.S. law and the EU General Data Protection Regulation (GDPR). Your personal registration information will reside on a GDPR-compliant server with a third party in the United States to run reports and maintain information integrity within SCA’s database. At the conclusion of this event, if you opted in, your personal information will be stored on SCA’s GDPR-compliant internal database as an attendee of this event. Past attendees will receive updates about future SCA events. At any time, you may request access to the personal information you provided through your registration. You may also request to review, correct or delete any of that personal information.  Your personal information may be transferred to other countries for processing where it will continue to be GDPR-compliant, and by using this registration website, you consent to the transfer of information to such countries. Minors Attending the show:  Parents and/or adult guardians who choose to bring minor children under age 18 to the Specialty Coffee Expo understand and agree that they are assuming full responsibility and liability for the actions and behavior of those minor children that are brought into any area of the event, including but not limited to the Exhibit Hall, Lectures, or paid options (12-17 year-olds who purchase an Attendee badge or options).  On behalf of your minor children, you acknowledge that you have read, understand and agree with the information, statements and legal waivers in the SCA Release of Liability and Indemnity and the SCA Code of Conduct and that you agree your minor children will abide by all SCA policies.

Photo Release:  By registering for the 2025 Specialty Coffee Expo, you grant permission to SCA and its sponsoring partners to use your image in any photographs, videotape, motion picture or any other media taken by official SCA show photographers and videographers during and in relation to the 2025 Specialty Coffee Expo for any of SCA’s publications, social media, advertising or promotional purposes whatsoever, in perpetuity throughout the world.

While we have no means of managing opt out requests ahead of the event, SCA is committed to honoring requests to not use photos of individuals who wish to not have their photo used in promotional pieces to the best of our ability after the event. If you see a photo of yourself being used and wish to have it omitted from future promotions, please contact marketing@sca.coffee

Other Important Policies:

  • SCA is not responsible for lost, stolen, or damaged property, or for injuries sustained during the course of the event. 

  • No firearms or other weapons are ever allowed inside of SCA events.

  • Illegal drugs, smoking, or vaping are never allowed at SCA events.

  • Alcohol may be served or be otherwise available at SCA events; but disorderly conduct is never allowed.

  • Attendees causing damage to SCA event property or the facility at which the event is held will be required to financially reimburse SCA or the venue for the full costs of repair or replacement and associated fees and expenses.

  • If you are taking photographs and videos of attendees, please respect those that do not wish to be photographed or recorded by asking permission to take pictures and post on social media.

CONSEQUENCES OF VIOLATION

By registering to attend the Specialty Coffee Expo you acknowledge that if you violate any of these policies during the event, you may be removed from the event for a specific amount of time or the duration of the event and may also be barred from future events. If you violate the law, you will be subject to reporting to the proper law enforcement authorities.
